How to request records from TrueScope Build under the Promotion of Access to Information Act, 2 of 2000 (PAIA).

1. Purpose and contact

This guide explains the electronic route for requesting access to records held by TrueScope Build where the record is required for the exercise or protection of a right. Requests are directed to the Head / Information Officer through enquiries@truescopebuild.co.za. TrueScope Build operates in South Africa and currently accepts requests and provides this guide electronically.

2. Regulator’s guide

The Information Regulator publishes an official guide explaining how to use PAIA, prescribed forms, fees, remedies and contact points. It is available from the Regulator’s PAIA Guidelines page or on request from the Regulator.

3. Categories of records

  • governance, policy and statutory compliance records;
  • customer, account, order, payment and support records;
  • project submissions, quote-review working records and final reports;
  • supplier, professional adviser and service-provider records;
  • financial, tax and accounting records;
  • personnel and contractor records, where applicable;
  • website, security, technical and intellectual-property records; and
  • privacy, consent, data-subject request and incident records.

Public website content, these legal notices and a customer’s own final report are ordinarily available without a formal PAIA request, subject to identity and account checks.

4. How to request access

  1. Use the current prescribed private-body request form available from the Information Regulator’s PAIA forms page.
  2. Describe the requested record clearly, identify the right you seek to exercise or protect, and explain why the record is needed for that right.
  3. State the preferred form of access, provide contact details and attach proof of identity or authority where relevant.
  4. Email the completed request to enquiries@truescopebuild.co.za.

We will acknowledge the request, advise of any prescribed fee, and decide it within the period required by PAIA. Payment of a lawful fee may be required before search, preparation or access.

5. Grounds for refusal and third-party notice

Access is not automatic. PAIA may require or permit refusal to protect another person’s privacy, confidential commercial information, safety, legally privileged records, research or other protected interests. We may need to notify or consult an affected third party. Reasons and available remedies will be given where required.

6. POPIA requests

If you want to access your own personal information, object to processing, or request correction or deletion, see the Privacy & POPIA Notice. The Information Regulator also publishes the prescribed POPIA forms on its website.

7. Remedies

If you are dissatisfied with a PAIA decision or receive no response within the required time, you may use the complaint or court remedies provided by PAIA. The Information Regulator’s website provides the current process, forms and contact details.

Formal-manual note: This online access guide does not invent unavailable registration, street-address or officer-registration particulars. Those particulars and any prescribed language versions must be added to the operating entity’s formal section 51 PAIA manual before live paid trading.
